About the role
We are seeking a proactive, reliable, and highly organised Office Administrative Assistant to join our school’s administrative team. This is an exciting opportunity for someone who enjoys a varied role, thrives in a fast-paced environment, and takes pride in supporting both staff and families.
The successful candidate will play a key role in ensuring the smooth day-to-day running of the school office, providing essential support across multiple school sites and acting as a professional point of contact for parents, staff, and visitors.
Key Responsibilities:
Act as the first point of contact for parents, visitors, and stakeholders
Handle incoming phone calls, emails, and general school communication
Manage and maintain school data using Arbor MIS
Work confidently within Microsoft 365 and SharePoint for collaboration and document management
Learn and support additional web-based systems (training provided)
Order and manage school supplies with an eye for value and efficiency
Liaise with visitors and ensure all safeguarding checks are completed
Provide first aid support to pupils as needed (training provided)
Assist in maintaining Health & Safety standards
Maintain confidentiality, especially when working with sensitive HR records
Work flexibly across multiple school sites as needed
Person Specification:
The ideal candidate will be enthusiastic and eager to learn new systems and procedures quickly, demonstrating strong resilience in a busy, fast-paced environment. They will possess a positive attitude, an excellent work ethic, and a strong sense of loyalty and professionalism. As a team player, they will collaborate effectively with colleagues while upholding the school’s values and ethos. The role requires discretion and confidentiality, particularly when dealing with sensitive or HR-related information. The successful applicant will be able to set and respect clear professional boundaries, avoiding school politics, and will be comfortable adapting to new web-based systems, with training and support provided.
