About the role

We're looking for an enthusiastic and well-organised individual to join our busy and award winning team. The role is office based at our Shire Park, Welwyn Garden City office. You will be working alongside our Complex Case Team.

Prior administration experience is required, along with the ability to work independently with close attention to detail. Competency in Google Drive, Gmail and Google Sheets is essential, and a willingness to learn new systems is a must. 

Our tutors support children on a 1-1 or 2-1 basis. We work in family homes, local schools, community venues and online. In 2024 we won National Tutoring Business of the Year award with the Tutors Association. 

Many of the children we work with have SEND needs and so experience in this area is desirable. We work closely with Hertfordshire & Cambridgeshire County Council SEND teams to provide tuition packages for children with EHCPs, on EOTAS packages, children awaiting specialist provision and those who have been permanently excluded.

We also support children who have Emotional Based School Avoidance and those who are medically unwell.

Hours:

  • This role is an office based role in Welwyn Garden City, for 4 hours per day.
  • Timings by agreement. 
  • Term time only.
  • Some fleixbility to offer overtime during busy periods would be desirable. 

Key Responsibilities:

  • Quotation Development: Accurately prepare and assemble quotations for tuition provision, tailoring them to individual student requirements.
  • Paperwork Compliance: Ensure all necessary paperwork for Alternative Provision (AP) is in place, including individual learning agreements, parental consent, risk assessments and other compliance documents.
  • Coordination: Pass on messages to tutor teams regarding student absence, changes to timings etc. 

Skills Required:

  • Interpersonal Skills: A friendly and approachable demeanor, with a willingness and ability to effectively communicate with tutors regarding their roles and student needs.
  • Strong Communication Skills: Excellent verbal and written communication skills, with the ability to convey information clearly, concisely, and professionally to diverse audiences (internal team, clients, external partners).

  • Attention to Detail and Accuracy: Meticulous approach to data entry, document preparation, and record-keeping, ensuring high levels of precision and error-free work.

  • Effective Time Management: Proven ability to manage deadlines, prioritize workload, and work efficiently under pressure.

  • Problem-Solving Abilities: Resourceful and proactive in identifying issues and finding effective solutions independently.

  • Interpersonal Skills: Friendly, approachable, and professional demeanor, with the ability to build rapport and work collaboratively within a team.

  • Adaptability and Flexibility: Willingness to adapt to changing priorities and new challenges, demonstrating a proactive and flexible approach to tasks.

  • Discretion and Confidentiality: Ability to handle sensitive information with utmost discretion and maintain confidentiality at all times.

  • Desirable but not essential- SEND Expertise: Demonstrated familiarity with Education, Health and Care Plans (EHCPs) and a strong working knowledge of Special Educational Needs and Disabilities (SEND) frameworks.

You should have:

  • Right to be self employed in the UK
  • Prior administration experience
  • Excellent communication and interpersonal skills
  • A strong understanding of confidentiality
  • Experience using Google drive, Gmail and Google Sheets
  • We are committed to safeguarding and promoting the welfare of children. There are some requirements for the role which we can support you with. These include the following: 
    • All candidates must have or be willing to undergo an Enhanced Disclosure and Barring Service (DBS) check and be registered on the update service. (existing DBS checks will need to meet our criteria, or a new DBS can be arranged via HST)
    • All candidates must have or be willing to undergo Safeguarding and Prevent training (access provided by HST

In addition to this the following are desirable:

  • Experience working in education
  • Sense of humour
  • Good communication skills and willingness to communicate via whatsapp/email/video call as needed with our team.
