Home-School Tutoring (HST) Hertfordshire & Cambridgeshire is a large, dynamic, and fast-growing tutoring agency. We are a key strategic partner for Local Authorities and schools, currently providing bespoke educational packages for over 150 young people with complex Special Educational Needs and Disabilities (SEND). We also work with many school across Hertfordshire & Cambridgeshire as well as working directly with families. The Role
The Tutor Onboarding Assistant provides administrative and operational support throughout the tutor onboarding process. The role is central to ensuring that new tutors progress through onboarding efficiently, professionally and in line with HST's recruitment, safeguarding and compliance requirements.
The postholder will review and process tutor documentation, conduct onboarding calls, follow up outstanding information and work closely with the Onboarding Manager and wider team. The successful candidate will be highly organised, confident communicating with new tutors and able to manage detailed administrative tasks accurately and proactively.
Key Responsibilities
Tutor Onboarding
Support the end-to-end onboarding process for new tutors.
Review tutor applications and documentation to ensure all required information has been provided.
Complete and process tutor onboarding documentation accurately ensuring compliance.
Ensure onboarding records and systems are kept up to date throughout the process.
Conduct onboarding calls with new tutors, providing a warm and professional introduction to HST and explaining next steps clearly.
Provide support and guidance to tutors throughout the onboarding process.
Respond to tutor queries promptly, professionally and accurately.
Document, Safer Recruitment & Compliance Administration
Check tutor documents for completeness, accuracy and compliance with HST requirements.
Monitor outstanding documentation, checks and information.
Proactively chase tutors by email and/or telephone for missing, incomplete or outstanding documentation.
Ensure required onboarding and safer recruitment documentation is received and appropriately recorded before tutors progress through the onboarding process.
Maintain accurate, organised and confidential records within HST's relevant systems.
Identify and escalate documentation, compliance or onboarding concerns to the Onboarding Manager.
Follow HST policies and procedures relating to safeguarding, safer recruitment, data protection and confidentiality.
Team Support
Work closely with the Onboarding Manager and wider onboarding and operations teams to manage workloads and priorities effectively.
Provide clear updates on tutor onboarding progress where required.
Assist with the ongoing development and improvement of onboarding processes and administrative systems.
Support colleagues with onboarding-related tasks during busy periods.
Contribute to a positive, collaborative and supportive team environment.
General Administration
As part of this role there will be some additional duties to support the effective running of the office e.g. ensure office supplies are kept well stocked, general posting and support organising tutor events.
Undertake general office and administrative duties as required.
Maintain organised electronic and, where applicable, physical records.
Assist with emails, data entry, filing and other administrative tasks.
Support other departments or team members with reasonable administrative requests where capacity allows.
Undertake other reasonable duties consistent with the nature and level of the role.
Safeguarding
HST is committed to safeguarding and promoting the welfare of children and young people. The Tutor Onboarding Assistant must understand that robust onboarding and safer recruitment processes form an important part of HST's safeguarding arrangements.
Follow HST safeguarding and safer recruitment procedures at all times.
Handle personal and sensitive information securely and confidentially.
Escalate any safeguarding, suitability or compliance concern immediately through the appropriate HST process.
Complete all mandatory training required for the role and keep this up to date.
Candidate Requirements

A professional and discreet approach to confidential and sensitive information.
Desirable
Previous experience in an administrative role.
Experience in recruitment, onboarding, safer recruitment or compliance administration.
Experience working within education, tutoring, alternative provision or a similar environment.
Experience conducting telephone or video onboarding calls.
Familiarity with CRM, HR, recruitment or document-management systems.
What We Offer
While you will have significant autonomy in this role, you will be fully supported by our Directors and our well established Onboarding team. You will be joining a team that is passionate about alternative provision and making a tangible difference in the lives of vulnerable young people.
Hours
· Contract Type: Employed position, initial 12-month contract (subject to review and extension).
· Hours: 20 hours per week, with potential for overtime during busy periods.
· Working Pattern: Term time only (39 weeks per year) plus 4 weeks. 4 hours per day, preferably late morning start.
· Salary: £41,600 FTE per annum. Actual salary (based on 20 hours/39 week + 4 weeks) is £17,200 per year.
· Location: Based in our office in Welwyn Village
· Benefits: Provision of a work laptop and work phone, plus a private pension.
